A paper issue card works until the first real question: who received what, when, and whether that equipment is still fit for use. This module runs the PPE store as a register — from stock item and level, through the entitlement matrix, to a confirmed handover to a named person.

Why the paper card stops working

While a site has a few dozen people and a handful of items, a logbook is enough. Trouble starts with turnover, shift work and contractors: signatures sit in the storekeeper's binder, entitlements in an annex to a policy, and stock in a spreadsheet one person maintains.

The consequences are predictable. Nobody knows whether someone moving to a new role received the full set that role requires. Nobody sees which items are running out until a worker turns up for them. After an incident, proof of issue has to be found by hand — and sometimes it does not exist at all.

An electronic register does not change the rules of entitlement; it changes access to information. A person's equipment history, an item's stock level and the list of approaching dates are visible immediately, without digging through paper.

Entitlement as a starting point, not an annex

An entitlement table states what protective equipment and workwear a given role receives and for how long it may be used. In practice that document lives apart from the store, so issues become discretionary and gaps surface only during an inspection.

Here entitlements are attached to the role and the role to the person. At the counter you therefore see not only what the worker is asking for, but what the standard says they should hold and what is missing.

Entitlements follow from the risk assessment and from the employer's decisions, so they are configured during rollout to match the standard in force at your organisation. The system imposes no ready-made tables and does not replace the decision on what protection is appropriate.

Category III equipment needs separate oversight

Equipment protecting against risks with irreversible consequences — fall-arrest harnesses, lanyards and energy absorbers, respiratory protection, chemical protection — does not end at handover. The manufacturer sets a service life and inspection rules, and equipment past its date or involved in an event must be withdrawn from use.

Such items are recorded individually, with serial number, date of manufacture, date of issue and next inspection date. That is a qualitative difference from ordinary gloves: the specific unit matters, not the number of pairs in stock.

It then becomes easy to answer the question that usually follows an incident or an audit: where is that unit, who uses it and is its inspection current. The system does not perform the inspection — it records the outcome and keeps the date in view.

Issues to visitors, drivers and contractors

A sizeable share of issues does not involve employees. A helmet for a visitor, a vest for a driver, goggles for an external service engineer — short-term handovers that usually go unrecorded, yet consume stock and have to come back.

The module supports issuing to people outside the employee register, marking the handover as returnable with a due date. For areas with stricter requirements you can see whether a person entering the site actually collected the required equipment.

Frequently asked questions about the PPE store module

Does the module replace the paper equipment record card?

It keeps its electronic equivalent: issue history, sizes, dates and receipt confirmations per person. The employer decides the form of documentation, so the exact record format is agreed during rollout.

Can sizes be managed?

Yes. An item can have size variants, and a worker's sizes are stored, which shortens handover and reduces returns.

How is receipt confirmed?

Receipt is recorded electronically at handover. The detailed method is agreed during rollout, depending on whether issues happen at the store counter or in the field.

Does the system track inspection dates for harnesses and fall-arrest equipment?

Yes, for dates and records. Category III items are recorded individually, with the next inspection date flagged in advance. The inspection itself is carried out by a competent person or body in line with the manufacturer's instructions.

Can equipment be issued to people outside the company?

Yes. Issues to visitors, drivers and contractor staff are supported and can be marked as returnable.

Are there limits on the number of stock items?

Yes. Plans include a set number of stock items and the allowance can be extended. Details are in the pricing section.
