Rounds and inspections — regular presence on the floor instead of a quarterly report

The typical round looks like this: a manager walks the hall, takes a few photos, writes remarks in a notebook and returns to the office. In the evening some remarks are typed into a spreadsheet, some are remembered and some disappear. A week later the same remarks reappear, because nobody had an assigned task or a due date.

The problem is not willingness but the lack of a tool that captures an observation and gives it an owner at the same moment. Every transfer of data from notebook to spreadsheet is a place where information stops existing.

In VIMS the round is done on a phone. The observation is recorded on the spot with a photo and location, and the owner and due date are set in one move while still on the floor. When the round ends the report already exists and the tasks are on their way.

Most remarks from a round need no formal corrective action — a task for maintenance, a team leader or housekeeping is enough. In VIMS a finding therefore becomes a simple task with an owner and due date by default, and only more serious cases move into the full CAPA flow.

The distinction matters in practice: if every blown bulb triggers a corrective action procedure, the system will soon be abandoned. But if a recurring fault on a protective barrier is treated as a trifle, the organisation misses a real signal.

Reports show which findings keep returning in the same place. The same leak reported three times is no longer a defect but a case for root cause analysis and a technical decision.
