The problem: knowledge buried in binders

Workers often do not know where to find detailed procedures. Instructions sit in thick binders, SDS sheets in a separate folder and the LOTO procedure in the supervisor's office. When a question comes up at the machine, the answer is too far away.

Generic AI chats do not solve this — they answer from the internet, not from site documentation, and can give a convincing but wrong answer.

The VIMS solution: answers only from approved documents

EHS Copilot uses only documents approved in the organisation: safety instructions, LOTO procedures, SDS sheets and site plans. Every answer cites its source, so workers and safety specialists know what it is based on.

The assistant flags PPE inconsistencies, gives the location of extinguishers and first-aid kits from plans and, for critical questions, immediately directs the user to emergency number 112. Data is anonymised before analysis.

What the Knowledge Base & EHS Copilot module gives you

Answers with citations

Every answer points to the document and passage it comes from.

Approved sources only

The assistant does not use the internet or unapproved document versions.

PPE inconsistency detection

Flags when an instruction and an SDS require different protective equipment.

Equipment location from plans

Shows where the nearest extinguisher, first-aid kit or safety shower is.

Critical questions → 112

When life is at risk, the assistant does not analyse — it directs to the emergency number.

Data anonymisation

Personal data is removed before analysis by the AI model.

Frequently asked questions about EHS Copilot

Can the assistant make up an answer?

It answers only from approved documents and cites the source. When the documentation does not contain an answer, it says so instead of guessing.

Does EHS Copilot replace a safety specialist?

No. It is a fast way to access knowledge. Decisions, risk assessment and supervision stay with people.

What about personal data?

Data is anonymised before analysis. Processing details are described in the DPA and on the Security page.

Which documents can I upload?

Safety instructions, LOTO procedures, SDS sheets and other approved documents. We will show supported formats during the demo.

Interactive safety plans and zones

Evacuation plans in display cases and binders of floor plans rarely help when every second counts. The Safety plans and zones module turns a floor plan into an interactive map linked to documentation, chemicals, safety walks and emergency procedures.

Smart data import and AI assistant

The most expensive part of rolling out a safety system is not the licence; it is the weeks spent retyping employee records, medical checks, qualifications and safety data sheets. This module shortens that stage and makes sure nothing enters a register without human approval.
